We don't collect sensitive information (such as health or financial account details) through the website. You can contact us without giving your real name, but we may not be able to help as well.
3. How we use it
- To reply to your enquiry, book a discovery call or demo, and prepare a Proposal
- To build, test, hand over and support the software you've engaged us for
- To send invoices, take payment and keep business and tax records
- To understand which channels bring people to us, using the source you came from
- To improve our website and services
We only use your information for these purposes, or for a related purpose you would reasonably expect. We don't sell personal information. We won't add you to a marketing list unless you agree, and you can opt out at any time.
4. Who we share it with
We share personal information only with the service providers we use to run htbj and build client tools. We also share it where the law requires.
| Provider | What they do for us | What they may handle |
|---|---|---|
| Lovable | Hosts our website and the applications we build | Website enquiries, technical data, client app data |
| Supabase | Database and storage behind our website and client apps | Website enquiries, client app data |
| Slack | Notifies us internally when a new enquiry comes in | Website enquiry details |
| GitHub (Microsoft) | Stores and version-controls project code | Code, plus occasional sample or configuration data |
| Anthropic (Claude) | AI-assisted design, coding and documentation, plus AI features in some builds | Project information and data passed to AI features |
| Google Fonts | Serves the fonts on our website | Your IP address and browser details |
| Other services named in a Proposal | For example Salesforce, n8n or Clay | Client project data as described in that Proposal |
These providers handle information under their own privacy policies. We choose providers with reasonable security standards, and we only give them what they need.
5. Storage outside Australia
Our main database is in Australia, but some of our providers process data overseas, mainly in the United States. By giving us your information, you acknowledge that it may be stored or processed outside Australia, and that overseas laws may protect it differently.
- Our website runs on Lovable's hosting at htbjtech.com. Enquiries are stored in Supabase's Australian region (Sydney). A copy of each enquiry is also posted to our Slack workspace, which may store it overseas.
- Client applications are hosted in one of two ways, as stated in the Proposal: on a Lovable-hosted address ending in .lovable.app, or published to the client's own domain. Either way, the hosting is provided by Lovable and the data is stored in Supabase.
- Where a client needs data kept in Australia, we will discuss options before the build starts.
6. Client project data
When we build for a client, we may handle personal information that belongs to the client's own customers or staff. Examples include CRM contacts, commission and pay figures, bookings or incident reports.
- The client remains responsible for that data and for having the right to share it with us.
- We access only what the build needs, and use it only to deliver the work.
- We don't put client personal data into an AI service that trains on it without the client's agreement.
- At handover, or when asked, we remove our access, and return or delete any copies we hold.
- If we become aware of a data breach affecting client data, we tell the client promptly and help them respond.
7. Cookies, browser storage and analytics
- No advertising or tracking cookies. We don't currently use advertising cookies, tracking pixels or third-party analytics on htbjtech.com.
- Referral source. If you arrive through one of our social links, we save one small value in your browser's local storage, such as "instagram" or "linkedin". It's sent with your enquiry if you submit one. You can clear it by clearing your browser's site data.
- Error reporting. If a page fails to load, technical error details may be sent to our hosting provider so the problem can be fixed.
- If we add analytics in future, we will update this policy first.
8. Security and how long we keep it
We protect personal information with access-controlled accounts, two-factor authentication where available, and encrypted connections (HTTPS). No system is perfectly secure, but we take reasonable steps to prevent misuse, loss and unauthorised access.
| Information | How long we keep it |
|---|---|
| Enquiries that don't become clients | As long as reasonably needed to follow up, or until you ask us to delete them |
| Client contact, Proposal and invoice records | 5 years after the last transaction, as Australian tax law requires |
| Client project data | Until handover or the end of support, then returned or deleted |
If a data breach is likely to cause serious harm, we will notify the people affected and, where required, the Office of the Australian Information Commissioner (OAIC).
9. Your rights
Email henry.jones@htbjtech.com to:
- ask what personal information we hold about you and get a copy
- correct anything that's wrong or out of date
- ask us to delete your information, unless we have to keep it by law
- stop any marketing messages
We will respond within 30 days. Requests are free. We may need to confirm your identity first.
10. Complaints and changes
If you're unhappy with how we've handled your information, email us first and we will respond within 30 days. If you're still not satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
We may update this policy when our services or providers change. The latest version is always on htbjtech.com, with the date it was last updated.
